Since 2012 the District implemented the use of Certica Solutions in order to ensure our CALPADS data is accurate and complete as well as meet our compliance deadlines. It was found to be an essential process in ensuring school site and department CALPADS data is entered correctly and on time. Both site office staff have come to rely on daily reminders to update information and we have become much more efficient and accurate correcting CALPADS errors. The District is again seeking to renew the contract agreement with Certica Solutions for Certify, which is Certica's hosted data certification service. They have a proven track record to support districts like ours to organize an easier electronic process validating and monitoring our data daily. It provides performance management to help districts analyze, track and improve CALPADS reporting and ensure compliance.

The Governing Board approved a five year contract with Caltronics (service and supplies) and De Lage Landen (copier finance) to provide copiers and maintenance to several sites in 2014. That five year contract period is ending in January 2019. The original five year agreement included a monthly lease payment as well as a maintenance cost based on copier usage. Because the copiers are still in good working condition, the two companies have have provided proposals to continue providing and servicing the copiers for two additional years. The per-copy charges are slightly higher than the original agreement because of the potential for additional service needs. However, the lease cost would be lower by half. The estimated cost of this two year maintenance agreement is about $25,000 per year. The annual cost for leasing the copies would be $12,223. The total annual cost would be approximately $37,223, which is a reduction of about $12,000 from total costs in 2017-18. The business office sent out a survey to principals and administrative assistants at sites currently using Caltronics copiers to ask about efficiency of copier repair, delivery of supplies, and overall satisfaction with the copiers. The average response for all questions was 4.4 out of 5, with no scores below 4. Additionally, all respondents indicated that they supported renewing the agreement with Caltronics for an additional two years. This contract only impacts our current Caltronics copiers. The majority of the district's copiers are maintained by Ray Morgan Company and will not be affected by this agreement.

The approximate annual cost of the maintenance agreement is $25,000 per year (depending on number of copies made). The total leasing cost would be $12,223 per year over the two year period. The total annual cost would be approximately $37,223. The new agreement would represent a savings of about $12,000 from current expenses. All costs would be paid from the unrestricted general fund.

The regulations of the Williams lawsuit settlement require school districts to complete “Quarterly Complaint” reports that document the number of complaints for textbooks and instructional materials, teacher vacancies and mis-assignments, and facilities conditions. Additionally, effective January 2008, as a result of settlement with the California State Department of Education, districts are required to implement the Valenzuela Settlement Legislation (Assembly Bill 347). Notification regarding the complaint process is integrated into the Williams Complaint form which is posted in every secondary classroom as required. For the period of July - September, 2018 the school district did not have any complaints.
