  74. O.2.d Agreements with Caltronics and De Lage Landen for Instructional Copiers Passed 📎 2

    Recommended motion

Staff recommends approval of two year agreements with Caltronics and De Lage Landen.

    Rationale
The Governing Board approved a five year contract with Caltronics (service and supplies) and De Lage Landen (copier finance) to provide copiers and maintenance to several sites in 2014. That five year contract period is ending in January 2019. The original five year agreement included a monthly lease payment as well as a maintenance cost based on copier usage. Because the copiers are still in good working condition, the two companies have have provided proposals to continue providing and servicing the copiers for two additional years. The per-copy charges are slightly higher than the original agreement because of the potential for additional service needs. However, the lease cost would be lower by half. The estimated cost of this two year maintenance agreement is about $25,000 per year. The annual cost for leasing the copies would be $12,223. The total annual cost would be approximately $37,223, which is a reduction of about $12,000 from total costs in 2017-18. The business office sent out a survey to principals and administrative assistants at sites currently using Caltronics copiers to ask about efficiency of copier repair, delivery of supplies, and overall satisfaction with the copiers. The average response for all questions was 4.4 out of 5, with no scores below 4. Additionally, all respondents indicated that they supported renewing the agreement with Caltronics for an additional two years. This contract only impacts our current Caltronics copiers. The majority of the district's copiers are maintained by Ray Morgan Company and will not be affected by this agreement.

Motion Staff recommends approval of two year agreements with Caltronics and De Lage Landen. Passed with a motion by Lance James and a second by Evelyn Gonzalez. | Vote: Yes Victor Aguilar, Jr. .; Yes Evelyn Gonzalez .; Yes Lance James .; Yes Peter Oshinski .; Absent Diana Prola .; Yes Leo Sheridan .; Yes Monique Tate .
    Financial Impact
The approximate annual cost of the maintenance agreement is $25,000 per year (depending on number of copies made). The total leasing cost would be $12,223 per year over the two year period. The total annual cost would be approximately $37,223. The new agreement would represent a savings of about $12,000 from current expenses. All costs would be paid from the unrestricted general fund.
